# DREAM VALLEY TRAVELS BHUTAN ### *Travel for Happiness – Bhutan* ## TRIP POLICY, TERMS & CONDITIONS Thank you for choosing **Dream Valley Travels Bhutan** as your local travel partner in Bhutan. We are committed to providing our guests with a safe, comfortable, enjoyable and memorable Bhutan experience. By confirming a trip with Dream Valley Travels Bhutan, guests agree to the following terms and conditions. ### 1. BOOKING CONFIRMATION * A booking is considered confirmed only after receipt of the agreed advance payment. * Required guest details and travel documents must be provided within the requested time. * For international guests, passport details are required for visa/immigration processing. * For Indian guests, valid passport or voter ID documentation may be required for the applicable permit process. * Once bookings are confirmed, hotel rooms, vehicles, guides and other services may be reserved specifically for the guest. ### 2. PAYMENT POLICY * The booking advance amount will be communicated at the time of quotation. * The remaining balance must be paid according to the payment schedule provided by Dream Valley Travels Bhutan. * Bookings involving hotels, flights, permits, special activities or other non-refundable services may require earlier or full payment. * Any bank charges, payment gateway charges or currency-conversion charges, where applicable, shall be borne by the guest. ### 3. SUSTAINABLE DEVELOPMENT FEE (SDF) The Bhutan Government's Sustainable Development Fee is a government levy and is separate from Dream Valley Travels Bhutan's service charges unless specifically stated otherwise in the quotation. Current official information states that the SDF is **USD 100 per person per night for most international visitors**, while Indian nationals generally pay **Nu. 1,200 per person per night**. Applicable child rates and exemptions are subject to government rules. Any change in government SDF rates or regulations after quotation/booking may result in a corresponding adjustment to the guest's payable amount. ### 4. ITINERARY POLICY * Dream Valley Travels Bhutan will make every reasonable effort to operate the confirmed itinerary. * The itinerary may be adjusted because of road conditions, weather, landslides, flight delays/cancellations, government restrictions, festivals, local events, natural disasters or other circumstances beyond our control. * Any changes will be discussed with the guest whenever reasonably possible. * Attractions may occasionally be closed due to maintenance, government orders, religious functions or other unforeseen circumstances. ### 5. HOTEL POLICY * Hotels are booked according to the category mentioned in the confirmed package. * Standard check-in/check-out times apply unless otherwise agreed. * Early check-in and late check-out are subject to hotel availability and may involve additional charges. * Room upgrades, special room requests, extra beds, additional meals and other personal hotel expenses are not included unless specifically mentioned. * Hotel facilities and services are subject to the individual hotel's operating conditions. ### 6. TRANSPORTATION POLICY * Transportation will be provided according to the vehicle category mentioned in the confirmed package. * Vehicle allocation may be changed to an equivalent or better category when operationally necessary. * Vehicle usage is primarily for the confirmed itinerary. * Additional sightseeing, detours, extended waiting time or route changes outside the agreed itinerary may involve additional charges. * Guests are expected to maintain reasonable cleanliness and care of the vehicle. ### 7. GUIDE POLICY Dream Valley Travels Bhutan provides professional local guides according to the nature of the trip. Guests may request a particular guide, where possible, but guide allocation is subject to availability. For senior citizens, families and guests requiring additional assistance, we strongly recommend informing us in advance so that we can arrange the most appropriate guide and support. ### 8. MEALS & PERSONAL EXPENSES Unless specifically mentioned in the package: * Personal meals and drinks are not included. * Alcoholic beverages are not included. * Laundry, room service, telephone calls, shopping and other personal expenses are the guest's responsibility. * Special dietary requirements should be informed to us before arrival. ### 9. CANCELLATION POLICY Cancellation requests must be submitted **in writing**. Our standard cancellation policy is: | Cancellation before arrival | Refund | | --------------------------- | --------------------------------: | | 45 days or more | 100% refund of recoverable amount | | 30–44 days | 75% refund | | 15–29 days | 50% refund | | 7–14 days | 25% refund | | Less than 7 days | No refund | **Important:** The above refund schedule applies only to amounts that are recoverable from hotels, transport providers and other suppliers. Government fees, permits, SDF, visa fees, airline tickets and other non-refundable charges may be deducted separately. Where a supplier's cancellation policy is stricter than the above, the actual non-refundable amount will apply. ### 10. NO-SHOW & EARLY DEPARTURE * No refund will normally be provided for no-shows. * No refund will be provided for unused hotel nights, meals, transportation or sightseeing voluntarily omitted by the guest after commencement of the trip. * Early departure is treated as a cancellation after commencement of the tour. ### 11. FLIGHT CANCELLATION & DELAYS Dream Valley Travels Bhutan is not responsible for losses caused by airline delays, cancellations, schedule changes, missed connections or baggage delays. Where possible, our team will assist guests in coordinating alternative arrangements. Any additional airline, hotel, transport or other charges shall be borne by the guest unless covered by the airline or insurance provider. ### 12. WEATHER, ROAD CONDITIONS & FORCE MAJEURE Bhutan's mountain roads and weather conditions can occasionally cause delays. Dream Valley Travels Bhutan shall not be held responsible for circumstances beyond reasonable control, including: * Landslides * Heavy snowfall * Floods * Road closures * Natural disasters * Severe weather * Flight disruptions * Government restrictions * Strikes or civil disturbances * Accidents or unexpected transportation problems * Sudden changes in government regulations * Other force-majeure events We will make reasonable efforts to provide alternative arrangements wherever possible. ### 13. TRAVEL INSURANCE Travel insurance is **strongly recommended** for all guests. Bhutan no longer requires mandatory travel insurance for visa processing, although the Department of Tourism recommends insurance as a precaution for unforeseen travel emergencies. Guests are encouraged to obtain coverage for medical emergencies, trip cancellation, flight disruption, baggage loss and other travel-related risks. ### 14. GUEST RESPONSIBILITY Guests are responsible for: * Carrying valid travel documents. * Following Bhutanese immigration and tourism regulations. * Respecting Bhutanese culture, traditions, religious places and local communities. * Following instructions from the guide and driver for safety. * Taking care of personal belongings. * Paying personal expenses and damages caused through negligence or intentional actions. ### 15. TEMPLE & MONASTERY VISITS Guests must dress respectfully when visiting monasteries, dzongs, temples and other religious institutions. Photography may be restricted inside certain religious areas. Guests must follow instructions given by their guide or local authorities. ### 16. HEALTH & FITNESS Guests should inform Dream Valley Travels Bhutan in advance of any mobility requirements or special assistance needs that may affect the itinerary. Certain Bhutan attractions involve walking, stairs, uneven terrain and altitude. Guests should choose activities appropriate to their own physical condition. ### 17. CHILDREN & SENIOR CITIZENS Families travelling with children and senior citizens are requested to inform us before booking. Dream Valley Travels Bhutan can adjust the pace of sightseeing and recommend suitable accommodation and transportation arrangements wherever possible. ### 18. COMPLAINTS & SERVICE ISSUES If a guest experiences any issue during the trip, the guest should immediately inform the Dream Valley Travels Bhutan representative, guide or management team. We will make reasonable efforts to resolve genuine service issues during the trip rather than waiting until the tour has ended. ### 19. REFUND POLICY Any approved refund will be processed after calculating: * Supplier cancellation charges * Government fees * Permit/visa charges * SDF payments * Hotel cancellation charges * Transportation cancellation charges * Airline charges, where applicable * Bank/payment charges * Other expenses already incurred on behalf of the guest Refund processing time may depend on the relevant supplier or financial institution. ### 20. GOVERNMENT REGULATIONS Bhutan's tourism, immigration, SDF, entry-permit and other regulations may be changed by the Royal Government of Bhutan. Dream Valley Travels Bhutan reserves the right to modify arrangements where necessary to comply with current government regulations. The official Bhutan tourism policy follows a sustainable, high-value tourism approach, and the SDF is used to support Bhutan's social, environmental, cultural and infrastructure priorities. ### 21.
